Sustainability is no longer a choice, but a requirement. Where energy consumption and material selection used to be secondary considerations, they now determine the entire design process of modern workplaces. Clients demand measurable results: concrete CO₂ reduction, demonstrable energy savings, and proven circularity. For organizations that want to transform their workplace, this means a fundamental shift in thinking and acting.

From trend to contractual requirement

The time when sustainability was mainly a marketing term is definitively behind us. In 2025, clients increasingly include circular performance and energy consumption as strict requirements in award criteria and contracts. Paris Proof, with a maximum energy consumption of 70 kWh per square meter per year, is increasingly used as the standard. BREEAM-NL certification is also regularly included as a contractual requirement by public and large private clients.

This development forces organizations to make choices already in the design phase that lead to lower energy consumption and reduced CO₂ emissions, rather than relying solely on behavioral change during the use of a building.

The Dutch Paris Proof program sets clear intermediate targets for existing buildings. In 2025, the level WEii Efficient applies, and in 2030 WEii Very Efficient. For new construction, there has also been a requirement since 2021 that buildings no longer use operational energy.


 

Measurable impact through smart technology

The average Dutch office consumes 175 kWh per square meter per year. To achieve Paris Proof, this must be reduced by 60%. That may seem like a huge challenge, but examples show that it is achievable. Heembouw reduced the energy consumption of its own office from 47 to 17 kWh per square meter in just three years.

The key lies in a combination of relatively simple measures:

LED lighting with motion sensors saves 25% electricity
Smart thermostats, linked to occupancy data, reduce gas consumption by 20%
Monitoring the indoor climate with proper control provides an additional 15% energy savings

The combined effect of these measures can reduce energy consumption by 35 to 50%, without employees having to change their behavior. The payback period for these investments is usually under two years.


 


 


 


 

Circularity as a strategic choice

The choice of materials determines not only the appearance of a workplace, but also the long-term costs. Refurbished furniture costs 15 to 25% less than new furniture, while maintenance and replacement costs can be 30 to 40% lower due to the high quality and durable materials. CO₂ emissions decrease by 40 to 60%, because new production and transport are limited.

Over a period of ten years, the total cost of use of a circular interior is 20 to 40% lower. This means circularity is not only environmentally friendly, but also financially sensible. In addition, sustainable materials without harmful emissions have a positive effect on the health and productivity of employees: less absenteeism and better concentration.


 

Hybrid working requires strategic redesign

The transition to hybrid working offers opportunities for sustainability, but requires a well-considered approach. Research shows that 70% of employees experience improved well-being through hybrid working. At the same time, 60% of managers are concerned about mental health due to reduced social cohesion.

Successful organizations work with 0.7 to 0.8 workstations per employee and create different work zones aligned with specific activities. This results in 20 to 30% less office space required, which directly leads to lower rent and energy costs. The traditional 18 to 24 square meters per person is replaced by 12 to 16 square meters in a flexible layout.

Insight into occupancy is important for further optimization. In its own office, Gydz achieves an average occupancy rate of 86% with 0.7 workstations per person. The peak occurs in the morning, while after 4:00 PM occupancy drops below 50%. These insights help organizations make better decisions about layout and usage.


 

Biophilic design as a productivity factor

Nature in the office is not a luxury, but a valuable addition. Research shows that plants, daylight, and natural materials reduce stress and increase concentration. The effects are measurable: improved focus, higher employee satisfaction, and less absenteeism.

In combination with ergonomic workstations, employees experience fewer physical complaints and better mental health. Integrating natural elements is therefore an important part of a sustainable workplace, with a direct impact on organizational performance.


 

Design & Build as a guarantee for success

An integrated Design & Build approach reduces risks and limits disruptions. Short term (1–2 years): 20% energy reduction and employee satisfaction above 50%
Medium term (3–5 years): 40% energy reduction, WEii Efficient and BREEAM-NL Very Good
Long term (5–10 years): achieving the Paris Proof target and a fully circular interior

 


 

The first year after completion is crucial for further optimization. By monitoring the actual energy consumption, occupancy, and employee satisfaction, adjustments can be made in time. Clear communication about progress increases support and employee involvement.

Sustainability and circularity are no longer an extra, but a necessity for future-proof organizations. Those who invest now in measurable and strategically driven workplace sustainability create a healthier working environment while also saving costs in the long term. By combining smart technology, circular materials, and a well-considered design for hybrid working, a workplace is created that is ready for the future.
